Residential Sales Administrative Assistant
-Provide support to RSS team daily with scheduling all incoming work orders over phone and email
-Posts all jobs to goggle calendar with detailed notes of job description
-Ensure and validate time allotted meets the need
-Communicate with customers to ensure prepared for work and understanding of work to be performed for customer experience 24 hours after booking
-Review prep needed for work to be performed with customer
-Communicate with customer’s night before via text as to time of arrival for crew
-Pull from systems and prepare work orders to be delivered to service center location termite crew
-Ensure RSS completes proper work orders with Pictures and green sheets in tablet with detailed notes of work to be completed
-Ensures proper Rate Card alignment for subcontract work and communicates any errors to District Manager prior to PO process.
-Input POs for work orders working with vendors on cost per job to ensure proper payments on time
-Send paperwork and details to Ops for next day’s work schedule
Crew arrival duties and responsibilities:
-Crew to contact Scheduling admin upon arrival and completion to book hours
-In event job cxls or resets work with customer to reset new date and place on Goggle calendar
-Replace job in this event with new work order to fill gap and maintain production.
-Provide quality control calls (using Script provide) to completed work orders to ensure quality of work and customer experience and satisfaction
-During Quality control call ask for Referrals and YELP review
-Work with Ops to ensure team prepared for work description (equipment etc..)
-Maintain Goggle calendars for each service center
-Float and instruct crews based on work volume to different locations based on needs
-Instruct leadership on opportunities with crews and equipment needs
-Provide quality control call details to service center Ops, Dm and RSS good or bad to ensure follow up from managers and RSS to improve experience.
